The gate register

A maid, a milkman, an electrician — right now every one of them gets buzzed in on the guard's word, in a paper register nobody goes back to check. Here, your committee decides once, per vendor: accept, reject or block. The same decision carries to every scan after it, so the guard isn't guessing and you're not answering the same question every morning.

The maintenance book

Chasing flats by hand every month, from memory, is how a committee spends its year. This one just reads it out: ₹8,800 outstanding this month, four defaulters — flats A-204, B-107, C-301 and C-206, ₹2,200 each. Export it, hand it over, and the next committee starts from a list instead of your memory.

The notices

A water-tanker notice posted at 11pm gets buried under forty good-morning forwards, and half the building misses it before the tanker's gone. Post it here instead — posted where the building's record lives, not a group where it scrolls away and is gone by morning. The group doesn't lose anything — it just goes back to being the place neighbours talk, not the place notices get lost.

This works the same everywhere on the site, with one difference: a maid, a cook or a milkman is never rated. Only a trade like this one — a plumber, an electrician, a carpenter — ever carries a number.

Who came, how many days, what you owe the maid, the cook, the milkman — right now it lives in your head. This is what it looks like when a record keeps it instead. The book itself doesn't need a society: a flat inside one and a standalone house with none get the same one.

Vacation

The one case where the paper register costs both of you money.

You're going to Pune for two days, the 7th and 8th. Without a shared record, you tell the milkman at the door on your way out, and the maid, and the cook — and if one of them forgets, you come home to milk you never took, and an argument you cannot win because nobody wrote anything down. He's no better off for it either — he already loaded and delivered that milk, so what goes to waste comes out of his pocket, not yours. Mark the dates once, and everyone is skipped by default — the milkman's load drops before he ever fills the cans, so neither of you carries the loss.

Once Sunita's part of your book, every day defaults to present, the way it's always been — nothing to mark, nothing to remember. The only day that needs a word from you is a day she doesn't come; mark that, and she's notified, with a window to dispute it before it locks on the 1st.

₹7,500 payable isn't Sunita's word against Meera's memory. Every one of the 24 days behind it was on Sunita's screen the day it happened, hers to contest — so by the 1st there's nothing left to argue about, only a total to read.
